User Assets

The User Assets admin screen is where you will view and process the content assets that your users have submitted to the campaign.

Controlling how users upload content

Users can submit assets from the My Uploads screen on the Library tab or from a Content Upload Action Card you create. On the Campaign Settings screen, you can decide whether the My Uploads screen is available and which user roles it’s available to, whether you show any sort of legal disclaimer to users when they upload content, and which Gallery should be selected by default for you to send User Assets to.

Users with the necessary permission can submit assets whenever they want, but those assets will sit in the “Submitted” status and be visible to and sharable by only the user who uploaded them until and unless an Admin or Owners on the campaign approves the asset and adds it to a Gallery.

Viewing submitted User Assets

When your users start uploading content, you should keep an eye on the admin sidebar because we’ll show you a little number indicator next to the User Assets screen when there are submitted user assets which need to be reviewed.

By default, the User Assets table shows you all Submitted assets, but you can use the filtering toolbar at the top of the table to adjust your view and filters. You can also sort the table by whatever column you want by clicking on the column header of that column.

Reviewing User Assets

Click on a User Asset in the table to open it for review. This screen will look very similar to the normal asset editing screen from Assets Admin but with a new “User Asset Review” pane on the right side. You will use this pane to see the current status of a User Asset, pick a gallery for the asset, add a suggested post text (users cannot provide this when uploading the assets), and either approve or reject the asset. If you click the smaller arrow button next to “Approve” or “Reject” you will approve or reject that asset and automatically advance to the next User Asset on your list.

You can also use this User Asset editing screen to modify the name, description, labels, or expiration date of a User Asset. If you do make changes, be sure to click the Save button in the top toolbar to save those.

Assets which you approve add to a Gallery will immediately be available to all users who can see that Gallery. Assets which you approve but do not add to a Gallery will be available for you to use in Content Share Action Cards but not otherwise visible in the Library, like all other non-Gallery assets. Assets which you reject will be removed from your submitted queue and not shown to any other users. The user who submitted an asset it will be able to see if you have approved it (if it’s status is Active or Inactive) but they will not be able to see if you have rejected it. The only way it will be removed from the My Uploads screen of the user who uploaded it is if you delete it.

For a detailed spec of how assets are or are not visible to users throughout the library, see this Google Doc.
